The internal system your business actually runs on

Most growing businesses run on a spreadsheet nobody wants to touch and three tools that do not speak to each other. We build the internal system that replaces them — quoting, jobs, inventory, invoicing, and the reporting that finally agrees with itself.

This is for you if:

  • A critical process lives in a spreadsheet only one person understands.
  • The same order is entered into three systems by three people.
  • You cannot answer "what did we make on that job" without an afternoon of work.
  • Off-the-shelf ERP quotes came back at a price that assumed you were much larger.
What's Included

What You Actually Get

Built module by module against the process you actually run, so each piece earns its place before the next is started.

Process Modelling

We document how the business really works, including the exceptions people handle without mentioning them. Encoding a misunderstood process is how ERP projects fail.

Core Modules

Quotes, orders, jobs, inventory, purchasing and invoicing — whichever of these you need, built to fit rather than configured around.

Migration

Existing data profiled, cleaned and moved, with a reconciliation you can check rather than a promise that it worked.

Roles & Approvals

Who can see what, who signs off what, and an audit trail that answers who changed a figure and when.

Costing & Margin

Job and product profitability calculated from the same records the rest of the system uses, so the number is not assembled separately.

Phased Rollout

One module live and proven before the next begins, so the business is never waiting on a year-long build to see anything.

What A Build Like This Involves

An illustration of scope and sequence for erp & business software, not a client project. Real timelines move with the specifics, and the proposal you get would be costed against yours.

A fabrication business quoting bespoke jobs. Estimates are built in a spreadsheet by one estimator, job progress is tracked on a whiteboard, purchasing is done from memory, and nobody can say what a finished job actually made until the accountant closes the month.

  1. Weeks 1–3 · Discovery

Follow three real jobs from enquiry to invoice. Document the estimating logic that currently lives in one person's spreadsheet and one person's head. Agree which module goes first on the basis of what hurts most, not what is easiest.

  2. Weeks 4–8 · Quoting and jobs

The estimating model rebuilt as software, with materials, labour rates and margin rules explicit rather than buried in formulas. Jobs carry through from accepted quote to scheduled work, replacing the whiteboard.

  3. Weeks 9–13 · Purchasing and inventory

Purchase orders raised against job requirements. Stock and off-cuts tracked so material already paid for gets used. Supplier pricing held against the estimating model so quotes stop drifting from reality.

  4. Weeks 14–16 · Invoicing, costing and handover

Invoicing from the job record, posted to the existing accounting package. Job costing that draws from the same data, so margin is a query rather than a reconstruction. Training, documentation and a support window while the team switches over.

ERP & Business Software FAQs

If a standard product fits, buy it — it will be cheaper and better supported. Building wins when the licence and implementation cost of the standard product exceeds a custom build, or when your process is genuinely unusual and configuring around it costs more than encoding it.
